For many small businesses, growth is not just about attracting more customers — it’s about having the systems in place to serve them efficiently. As technology continues to reshape the way businesses operate, strategic use of digital tools and artificial intelligence can help owners save time, improve customer service and create opportunities for long-term growth.

Jaqueline Villalpa Arroyo, founder of Digital Marketing & AI Automation for Small Business, a Little Rock-based business service and technology consulting company, works with small businesses that want to better organize their operations, strengthen their digital presence and use technology, including AI, more strategically.

Many business owners lose time, money and opportunities because they try to do everything themselves, Villalpa Arroyo says, from responding to messages, managing social media and updating websites to preparing quotes and serving customers — all at once. Making one person responsible for so many tasks can slow growth and lead to lost sales, particularly if customers face long wait times. 

Before integrating new technologies, Villalpa Arroyo recommends small-business owners honestly review where time and money are being spent and document and systematize business processes. Those actions can help identify ways to improve efficiency and improve customer response times.

“We help automate operations so owners aren’t consumed by tasks that can be automated,” Villalpa Arroyo says “That allows them to focus on the activities that actually grow the business.”

She says it’s also important to maintain a close relationship with an accountant or bookkeeper who can help guide financial decisions. 

AI tools such as ChatGPT or Google Gemini can be useful, but Villalpa Arroyo says they should not be used blindly. AI can save time and support operations, but it’s also error-prone and could lead to unnecessary costs with weak results if it is used without the right context or a clear strategy.

“If you want to sell or scale your business in the future, documentation and systems preserve its value,” Villalpa Arroyo says. “Without proper systems and documentation, you risk losing that value.”
